ILLUSTRATIVE WORKFLOW · OWNERS & PROPERTY AGENTS

From property brief
to qualified conversation.

Keep listing facts, audience, channels, approvals and follow-up connected. Explore how a controlled workflow could reduce repeated marketing administration while keeping commercial decisions with the owner or appointed agent.

Proposed GZP workflow. This is an illustrative example, not a launched property-marketing service or a reported customer result.

TWO CLEAR STARTING POINTS

Who is this for?

BUSINESS / PROPERTY OWNERS

One unit. A clear commercial objective.

For owners managing a commercial unit, business premises or a small portfolio: prepare accurate listings, compare suitable channels and keep enquiries organised without losing authority over price, spend and terms.

Starting brief: one unit, rental or sale priority, confirmed details and one decision owner.

PROPERTY AGENTS & AGENCY TEAMS

More listings. Consistent review and follow-up.

For agents handling owner-authorised listings: reuse approved facts, prepare channel-specific copy, route enquiries and organise the next action across a portfolio.

Starting brief: one listing or team process, owner approvals, existing accounts and a named reviewer.

BROWSER-ONLY ILLUSTRATIVE EXAMPLE

One listing. A missing fact worth catching.

Synthetic commercial-property scenario. No real listing, client data, platform connection, ad spend or outbound message.

Step 1 of 6 · Brief

  1. 1. Brief
  2. 2. Fact check
  3. 3. Channel plan
  4. 4. Approval
  5. 5. Enquiry
  6. 6. Weekly review

Capture the marketing brief.

You control the asking price, budget and approval for one unit.

Sample property
Unit A · commercial showroom · approximately 517 sq ft
Rental asking price
S$3,200 / month
Sale asking price
S$1.5 million
Primary objective
Rental enquiries; sale remains a separate listing

These are sample asking prices, not valuation evidence or achieved income.

THE PROCESS IN DETAIL

Eight steps. Explicit decision gates.

AI can help structure information and prepare options. Approved facts, platform rules and authorised people determine what proceeds.

01

Confirm the brief

Record the authorised owner or agent, rental or sale objective, asking price, availability and who can approve changes.

Control: Owner authority and listing status must be confirmed.

02

Check the evidence

Compare the listing with approved area, tenure, permitted use, charges and current photographs. Keep missing facts visible.

Control: Unverified charges, use or ownership pause publication.

03

Define the audience

For rental, describe the operator’s space requirements. For sale, separate own-use buyers from investors and their evidence needs.

Control: A marketing persona is not a verified buyer or targeting capability.

04

Prepare the channel plan

Draft platform-specific English or Chinese copy and select a matching landing page. Compare direct listings, agent portals and paid ads.

Control: Check current policy, account access, fees and geographic controls for each channel.

05

Review and approve

Present the exact copy, photographs, destination, dates and spend limit to the authorised reviewer.

Control: No publication, budget change or renewal is assumed approved.

06

Publish within scope

Use an approved account and supported channel. Record the listing URL, version and confirmed publication status.

Control: Failed or pending publication stays unresolved; never label a draft live.

07

Qualify and coordinate

Collect intended use, budget, timing and viewing preferences for rental; own-use or investment intent for sale. Prepare a reply and viewing proposal.

Control: A suggested viewing is not a booking. Negotiation and commitments remain with the owner or appointed agent.

08

Review, update or close

Compare spend, qualified enquiries, viewings and offers by channel. Propose the next action and remove unavailable listings.

Control: Weekly reviews do not automatically repost, increase spend or change price.

TARGETING WITH EVIDENCE

Reach a relevant audience. Then qualify the enquiry.

Targeting creates an opportunity for relevance; it does not prove intent, budget, authority or suitability.

Rental audience

Operators seeking premises that match their intended use, floor area, monthly budget and move-in timing. Qualify the proposed business activity and practical requirements before arranging a viewing.

Sale audience

Own-use buyers assess operating fit and possession. Investors assess verified tenancy, income, costs and title. Proposed rent must not be presented as contracted rental income.

Search ads, social campaigns, AI advertising and property portals have different access, targeting and eligibility rules. Channel approval is a separate check; this example does not establish eligibility or guarantee a particular audience.

VALUE TO TEST

Measure outcomes and the work needed to get them.

Establish a baseline before a pilot. No conversion uplift, savings or transaction outcome is claimed.

  • Time to an approved listing
  • Corrections before and after publication
  • Qualified enquiries by channel
  • Time to first substantive response
  • Viewings arranged and attended
  • Offers received, separately for rent and sale
  • Ad spend per qualified enquiry and attended viewing
  • Owner or agent review time

Define a qualified enquiry using submitted use or buying intent, budget and timing—not likes or a link click. Track enquiry → qualified conversation → viewing → offer → agreed transaction as separate stages.

BEFORE A PILOT

Scope the work before connecting accounts.

Is GZP acting as an estate agent?

This example concerns marketing administration and coordination. It does not appoint GZP as an estate agent, authorise negotiation or replace a licensed agent. Any estate-agency activity requires a separate assessment of applicable requirements and the appropriate authorised professional.

Will it publish ads or spend automatically?

Not in this example. A future pilot would need verified channel support, account permissions, exact content approval, a spending boundary and stop conditions. Reposting and renewals require the agreed authority.

What is saved or sent by the example?

Nothing is sent to advertising platforms or property prospects. The sample runs in your browser. The separate GZP assessment form collects an enquiry only when you complete and submit it.

What would a first pilot include?

One owner-authorised commercial listing, one primary objective, a small approved set of channels, a human review gate and an enquiry log. Paid media and additional services would be scoped separately.

Research-stage workflow. The proposed process needs implementation and validation. No live channel integrations, automatic publishing, enquiry routing or weekly campaign operation are claimed.

Where does property marketing get stuck?

Bring the listing preparation, approval or follow-up problem. Describe the work at a high level; do not submit client identity documents or confidential records.
